Systems + Automation is for authors who want to save time by fixing the workflow, not just doing more admin. If your process relies on memory, manual copy/paste, or repeated emails, I’ll help you design and implement a cleaner system so your tools do the busywork.

This service runs in two phases:

How this service works (two phases)

Phase 1: Workflow Plan (required)

We identify:

  • what’s happening now (steps, bottlenecks, repeats)

  • what you want instead (outcome + “when X happens, do Y” logic)

  • tool constraints (Squarespace/newsletter platforms/payment rules)

  • the cleanest solution that fits your comfort level

  • Confirm tool constraints and any paid feature requirements

Output: a written workflow plan (and recommendations) you can implement yourself if you’re already tool-savvy, or use as the blueprint for Phase 2.

Phase 2: Implementation (optional)

If you want me to build it, I’ll implement the plan in your existing platforms and document what I set up.

Output: working automation/workflow + handover notes.

What this is good for

  • Auto-sorting and responding to common inquiries (so only edge cases hit your inbox)

  • Newsletter automations (tags, segments, welcome flows, sequences)

  • Intake pipelines (form → folder → task list → confirmation email)

  • Launch workflows (reusable templates, checklists, timelines, SOPs)

  • Purchase-triggered workflows (within Squarespace/platform limits)

Example outcomes

  • Inbox relief (fewer repeats): You keep getting the same questions (“Where do I start?”, “Do you offer signed copies?”, “How do I book you?”). We set up a simple sorting + response system so common inquiries get a helpful reply automatically—while anything truly specific still reaches you.

  • Cleaner signups and follow-ups: A reader (or client) signs up, but nothing happens consistently. We build a flow that tags people properly, sends the right welcome message, and routes them to the next step (book/series starter, freebie, booking link, or product page).

  • Launch / promotion workflow you can reuse: Every launch or promotion feels like rebuilding the wheel. We turn it into a repeatable workflow with templates, a checklist, and automations so the right emails and tasks happen at the right time—with less manual effort.

  • Purchases that trigger the next step: Someone buys a product or joins a membership and you still have to manually confirm, deliver, and update your records. We set up a purchase-triggered workflow so delivery, tagging, and follow-up happen automatically (within your platform’s limits).

Smarter booking + fewer no-shows
A non-fiction author was offering 30/60/90-minute coaching sessions and people kept booking the wrong thing. We set up a purchase-triggered flow so clients only saw the correct booking option for what they bought, with automated reminders leading up to the session.
Result: less confusion, smoother scheduling, and more completed bookings.

How prepaid hours work

  • These services are sold by the hour, so you can choose what fits your budget and move a project forward in steps.

  • Most work takes more than one hour to complete end-to-end. In many cases, one hour covers a meaningful milestone (setup, first draft, first pass, or one key improvement), not the entire finished project.

  • I’ll work in clear milestones and confirm what can realistically be done within the hours you’ve purchased.

Focus rule (one project at a time)
To keep results clear and progress visible, each order is applied to one primary project/focus at a time (one website, one book, one workflow, or one defined deliverable). If you have multiple projects, we’ll tackle them in order, milestone by milestone.

What I need from you

  • Links to the tools involved (website, newsletter platform, Notion, etc.)

  • A short description of your current process (what happens now)

  • Your ideal outcome (what you want to happen automatically)

Access note:
For implementation, you may need to provide an admin login or add me as a collaborator where possible. For security reasons, I won’t ask for or store sensitive banking details. Some steps (e.g., creating payment accounts or linking to a bank) must be done by you.

Important note

I prioritise systems that are stable and easy to maintain. If a “quick fix” will create future bookkeeping or admin pain, I’ll tell you and recommend a cleaner setup. You always choose the final approach, but I won’t silently implement something I believe will cause avoidable problems later.

Tools & platform costs
Some workflows require paid features, upgrades, or third-party tools. If your current setup can’t support what you want (for example: advanced email automation, scheduling rules, or purchase-triggered actions), I’ll recommend the simplest option and explain any extra costs before we proceed. You always choose whether to upgrade. No surprise fees.

How I choose tools
I’ll default to what you already use if it can do the job reliably. If it can’t, I’ll recommend the simplest upgrade or add-on that solves the problem.

Not included

  • Creating or linking financial accounts on your behalf (banking/identity verification steps)

  • Custom backend development (APIs, PHP, SQL) or bespoke software builds

  • Anything that requires credentials you can’t securely provide

  • If your request needs deeper engineering or a larger build, use the Project Request option.

Availability & scheduling

  • I offer a limited number of paid hours each month. When you purchase, you’re reserving time in my work queue.

  • Queue varies: most requests are started within 2–4 weeks, but during busy periods it can be up to 12 weeks.

  • If you have a target date, add it to your notes at checkout. I’ll confirm what’s realistic once I review your request.

  • If this month’s hours are sold out, you can join the Priority Openings List to get first access when new hours are released.

  • After purchase, I’ll email you within 1 business day to confirm your place in the queue and confirm what tools/access are needed for Phase 1.

Rush deadlines
Rush deadlines are handled through Project Requests only.
